The problem

General couriers weren’t built for clinical samples.

A parcel network moves boxes. A pathology sample is time- and temperature-sensitive, needs correct handling, and above all needs an unbroken, documented chain of custody. That’s a different job.

No specimen handling

Untrained drivers don’t know UN3373 P650 packaging or how to react to a spill. Your samples ride next to takeaway parcels.

No chain of custody

No signed handover, no timestamp, no proof of who held the sample and when. If a result is questioned, you can’t evidence the journey.

Not clinical-grade reliable

Miss a lab cut-off and the sample is wasted — a repeat draw, an unhappy patient, a delayed result. Small clinics can’t absorb that.

What we do

Sample transport, done properly.

We connect Cambridge clinics and laboratories with pre-vetted, qualified couriers — and coordinate every run so you don’t have to.

Clinic → lab collections

Same-day pathology and diagnostic sample runs from your practice to the receiving laboratory, on a schedule that fits your cut-offs.

Direct, local, low-emission

Direct clinic-to-lab runs across central Cambridge — kept quick and clean, by zero-emission cargo e‑bike where we can, with no congestion or parking hassle at your door.

Scheduled “milk runs”

As volume grows we build recurring routes — predictable pickups, lower cost per run, one less thing for your team to chase.

Our standards

Every courier is vetted, trained and equipped.

The requirements below aren’t optional extras — they’re the baseline for carrying your work.

The journey

An unbroken, documented chain — every run.

Six steps, each recorded. If a result is ever questioned, the full custody trail is there.

01

Booking

You request a pickup by WhatsApp or email; we confirm the courier and an honest collection window.

02

Packaging

Sample sealed to UN3373 P650 in a validated cool box — the clinic prepares, the courier verifies.

03

Signed handover

Collection receipt signed and timestamped at pickup. Custody formally passes to Hartwell.

04

Direct transport

Straight A‑to‑B, no depot, no mixing with parcels — one courier, start to finish.

05

Proof of delivery

Delivered to the lab with signature and photo confirmation. Custody passes to the receiver.

06

Confirmation

Both clinic and lab notified. A job is only invoiced once it’s delivered.

Questions

What practice managers ask us.

What kind of samples can you carry?
Diagnostic and pathology specimens classified as UN3373 Category B (biological substance) — the great majority of routine clinic-to-lab work. We don’t carry Category A infectious substances.
How are samples kept at the right temperature?
Each run uses a validated cool box appropriate to the specimen — ambient or chilled as your protocol requires. If you have frozen or specialist requirements, tell us and we’ll confirm we can meet them before the run.
How quickly can you collect?
Same-day, with an honest collection window agreed at booking — we won’t promise a time we can’t hit. For regular work we set up recurring scheduled routes around your lab cut-offs.
What happens if a courier can’t finish a run?
A backup courier is dispatched to complete the delivery, the handover is signed and timestamped so custody stays unbroken, and we tell you proactively. A run is only invoiced once it’s delivered — a failed run isn’t charged.
Who is responsible for packaging?
As the consignor, your clinic prepares the sample to UN3373 P650 — standard practice. Our UN3373-trained courier verifies it, handles it correctly and knows how to respond to a spill.
Are you insured, and is there a contract?
Couriers carry goods-in-transit cover and are DBS-checked and UN3373-trained. There’s no lock-in: start with a no-obligation trial run, and continue only if you’re happy.

Who’s behind Hartwell
“I started Hartwell because Cambridge’s smaller clinics deserve the same careful, documented sample transport the big labs take for granted — not a parcel driver who’s never heard of UN3373. Every run carries my reputation.”
